Privacy Notice

Journey Panel is designed to collect only the personal information needed to operate accounts, protect access, and support journey collaboration. The organisation operating this installation is the responsible party for that processing.

Information we collect

• First name and surname
• Email address
• Date of birth for age validation
• Password hash and security/session records
• Terms and Privacy acceptance history
• Journey, group, invitation, and collaboration activity
• Guardian-consent evidence where the account holder is under 18

Why it is used

Information is used to create and secure accounts, confirm age eligibility, provide requested journeys and collaboration, administer permissions, investigate security events, meet legal responsibilities, and maintain an auditable history of user-account changes.

Date-of-birth privacy

Your date of birth is visible to you in My Profile. It is not displayed to group members, journey members, ordinary administrators, user lists, exports, notifications, or ordinary audit snapshots. Administrators see only the resulting age-access state.

Sharing and visibility

Other group members may see only your first name and surname. Personal information is shared with service providers only where needed to operate the system, such as an authorised email-delivery provider, and remains subject to appropriate safeguards.

Retention

Information is retained only for as long as required for its stated purpose, security, audit, dispute, or legal requirements. Accounts and operational records use controlled retirement or soft deletion rather than silent permanent deletion.

Your choices and rights

You may request access to your information, correct your profile, object to qualifying processing, request appropriate deletion or restriction, or raise a complaint. Some records may need to remain where retention is legally or operationally required.

Children and dependant accounts

Public registration currently requires the account holder to be 18 or older. If a corrected date of birth identifies an existing account holder as under 18, the account becomes restricted and requires verified consent from a guardian or competent person who is at least 18.

Contact and complaints

Contact the system administrator or the responsible party's Information Officer for access, correction, privacy, or consent requests. You may also complain to South Africa's Information Regulator where applicable.
